Do you thrive in a role where your organizational skills keep the office running smoothly? If so, Lightspark has an exciting opportunity for you to join our team as an Administrative Assistant/Office Manager. The position is full time, onsite in Culver City, Los Angeles.

What You'll Do:

  • Provide administrative support to our Chief Strategy Officer and Chief Legal Officer
  • Manage office operations efficiently, including maintaining office supplies, equipment, and facilities including kitchen supplies and lunch orders (as needed)
  • Assist in scheduling meetings, appointments, and travel arrangements for executives and team members
  • Support the coordination of any office events and special projects, ensuring timely execution and a positive experience for all participants
  • Handle confidential information and sensitive documents with discretion and professionalism
  • Prepare reports, presentations, and documents as requested by the management team
  • Maintain an organized office environment, ensuring a clean and comfortable workspace
  • Assist in budget tracking, expense reporting, and invoice processing
  • Assist in the preparation and distribution of legal correspondence and documents
  • Ensure compliance with legal and regulatory requirements, assisting in the management of legal filings and deadlines

What you'll have:

  • 3+ years experience in administrative roles, preferably as an Administrative Assistant or Office Manager
  • High level of proficiency in office software (e.g., Microsoft Office suite, Google Workspace, Slack)
  • Excellent organizational and time management skills
  • Experience communication accurately through a variety of tools - email, Slack etc
  • Experience handling multiple tasks and prioritizing effectively in a fast-paced environment
  • Attention to detail and a high degree of accuracy
  • Experience working with confidential and sensitive materials with discretion
  • Experience working in and contributing to a Team environment
  • Problem-solving abilities and a proactive approach to tasks
